Data Deletion Policy

Arcus AI Solutions LLC (“Arcus,” “we,” “us,” or “our”) provides this Data Deletion Policy to explain how you can request deletion of your personal information collected through our website (arcusaisolutions.com), our AI voice receptionist product (“Riley”), or related services, and what to expect from that process.

1. Who This Policy Covers

This Policy applies to individuals whose information Arcus collects directly, such as website visitors, callers or texters who interact with Riley on Arcus’s own behalf, and prospective or current clients.

If you called or texted an insurance agency (or other business) that uses Riley, that agency is generally the business responsible for your information, and Arcus acts as its service provider. In that situation, we may refer your deletion request to the relevant agency so that the agency — as the party with the direct relationship and legal responsibility to you — can process it, and we will assist the agency as needed. You are also welcome to contact us directly, and we will coordinate with the relevant agency.

Example: if you called an independent insurance agency and spoke with Riley about your auto policy, and you want that call information deleted, you may contact either the agency directly or Arcus. If you contact Arcus, we will work with the agency to process your request.

2. How to Request Deletion

Please include enough information for us to locate your records, such as your name, phone number, and approximately when you interacted with Riley or the Site. An authorized agent may submit a request where applicable law permits, but we may require proof of authority and may still need to verify the identity of the person whose information is involved. We generally do not charge for a request, but may take steps allowed by law if a request is manifestly unfounded, excessive, fraudulent, or repetitive.

3. Identity Verification

To protect against fraudulent deletion requests, we may ask you to verify your identity before processing a request — for example, by confirming the phone number or email address associated with your interaction, or by responding to a follow-up call, text, or email. We will only request information reasonably necessary to verify your identity.

4. Our Process and Timeline

  • Acknowledgment: We aim to acknowledge your deletion request within 2 business days of receiving it.

  • Verification: We may need to verify your identity or gather additional details before proceeding, as described in Section 3.

  • Completion: We aim to complete deletion within 30 calendar days after your identity is verified and your request is confirmed, though the exact time may vary depending on the systems and vendors involved.

  • Extensions: In some cases, we may need additional time — for example, if a request is complex, if we are coordinating with a client agency, or if a legal retention requirement or ongoing dispute affects part of your information. If we need more time, we will let you know.

5. What Deletion Covers — and Its Limits

When we process a deletion request, we work to remove your information from our active production systems and from the systems of the vendors we use to operate Riley and related services, which may include categories such as our AI voice platform provider, CRM/messaging automation platform, telephony/messaging carrier, payment processor, and cloud hosting provider.

Please understand the following practical limits:

  • Vendor systems: We will make reasonable efforts to have relevant vendors delete your information from their systems, but we do not control every vendor’s technical environment, and some vendors may have their own retention practices or legal obligations that affect how quickly or completely they can delete data.

  • Backups: Information may remain in encrypted backup systems for a period of time after deletion from active systems, and will be removed as those backups are naturally cycled out or expire, rather than through manual backup-by-backup deletion.

  • Logs and system records: Limited technical logs (such as basic connection or billing records) may be retained for security, fraud prevention, or accounting purposes even after a deletion request is completed.

  • Legal retention: We may retain certain information where required by law, to comply with a legal obligation, to resolve a dispute, to enforce our agreements, or where an insurance-related recordkeeping requirement applies to the relevant agency.

We will let you know if any category of information cannot be deleted and why.

6. Your State Privacy Rights

Depending on where you live, you may have a legal right to request deletion of personal information under applicable state privacy law. These rights vary by jurisdiction and by the type of relationship you have with us, and we do not represent that any specific state law automatically applies to every requester. If a specific state law right applies to your request, we will process it consistent with that law’s requirements.

7. Changes to This Policy

We may update this Data Deletion Policy from time to time. The “Effective Date” above reflects the most recent revision.
